Executive Assistant to the President & CEO

Office: Washington, DC

Position Summary:

The Executive Assistant will represent the President & CEO and the Office of the President & CEO on all daily work related issues involving internal staff, governance bodies and external contacts. Primary liaison responsibilities with staff in New York to ensure that clear, concise and timely communication/correspondence from the President & CEO is exchanged. Perform all administrative functions using initiative, clear-thinking and good judgment.

Key Responsibilities

  • Manage the President & CEO’s calendar and schedules appointments;
  • Screen incoming calls and correspondence, and respond quickly, professionally and independently, as appropriate;
  • Compose and prepare confidential and routine external correspondence, reports, agendas, notices, minutes, memos and other department forms and documents;
  • Arrange travel and itineraries, and compile documents for travel-related meetings;
  • Assume full responsibility for accurately reporting and ensuring timely reimbursement of the business expenses of the President & CEO, submit copies of all expense reports to the Chairman of the Board for review;
  • Interact with all staff to ensure that information needed by the President for projects is expedited to meet deadlines and follow-up as needed;
  • Manage the office and daily operations, work with outside service providers to recommend cost savings improvements, when necessary.

Education and Training

  • Bachelor’s degree or equivalent required, further study a plus
  • Two to five years in executive administration support
  • Microsoft Office expertise
  • Fluency in another language a plus

Skills and experience

  • Strong attention to detail
  • Excellent interpersonal, communication, and organizational skills
  • Self-motivated and able to work independently and multi-task when necessary
  • Team player with the ability to interact effectively with all levels of the organization
